Time Management Tips for Property Management Businesses

As a property manager, your schedule may be jam-packed with responsibilities that begin at sun up and ends with past sun down. Juggling too many tasks within a limited time is hard enough.  Sometimes you feel out of sync and wonder how to cope with the fast running of time. Sounds like you? You are not alone.

Most property managers waste most of their workdays simply because they don’t have the skills to manage the time with increasing workloads and demands from tenants, landlords and managers.

To bring the best out in you, you need to pick up your time management skills. Here are some useful time management tips that will help you reclaim your time and make you more productive.

Create a list

Sounds cliché? Well, it might seem like a basic step but makes a vital part of time management.  Mapping out your day is important as some time we just go with the flow only to realize that ordinary tasks have eaten into your day. It is better to be proactive about the things that you need to accomplish. List out the tasks on the basis of priority and keep track of it throughout the day.

 

Schedule time blocks

Once you are done with your list, it is time to start formulating an action plan for the day. Determine the time frame required to realistically accomplish your tasks and schedule time for each of your tasks. Some devote mornings to tackle complicated issues while afternoons work well for some property managers.  But you need to find the time that works for you. Figure out which times you’re at your best and use the time for handling the most important and pressing issues while saving other times for other tasks.

 

Focus on one task at a time

If you think you can leave one task in the middle and approach another job and then get back to the first task with no hiccups, you may be fooling yourself. Although, it is easy to get deflected when there are many tasks to accomplish, working on a single task at a time is the most efficient way to get things done accurately without fault.

 

Make use of tools and resources

What can be a better way than technology to save time? Many project management software and tools are avalable that will help you get up to speed. Tools such as electronic calendars, reminders, electronic banking, and social media platforms can make you more efficient when used wisely.

 

Connect with staff 

Sometimes you just assume that everything is going fine and later on realise that some tasks are not done as one of your team members didn’t understand the task properly. You may not have time to explain everything to everyone. But taking at least 10 minutes in a day in describing the task is a wonderful way to make sure your property management team is ready to go with no obstacles. Taking some time for questions, concerns and clarifications will save you a lot of time and frustration down the road.
